How can the team see the next step before it is late?

Customer work rarely breaks because the team did not try. It breaks when the next step lives only in one person’s task list, chat thread, or memory. Reliable follow-up is not more reminders; it is visible work, responsibility, and reason.

Name the next step clearly

“Follow up next week” is not yet clear enough. The team needs to understand what must happen, when it is expected, and who is responsible for moving it forward.

A clear next action makes work visible and gives the team a shared starting point when help or adjustment is needed.

Keep an owner and a rhythm

When a next step has no clear owner, work often lands in the space where everyone assumes someone else will handle it. Without a rhythm, urgency fades among other work.

Responsibility and timing are not surveillance tools. They let the team see customer work while there is still time to respond.

Keep the reason with the next step

Follow-up should not detach from customer context or deal judgement. When the team sees a task, it should also understand the customer need, decision path, or deal it responds to.

That way a new owner can understand the meaning of the work, not merely receive a task.

Review together before it is late

Start regular review with “what customer work comes next?” rather than only “what did we do last week?” This keeps attention on work that can still be changed.

When a next step is unclear, unowned, or disconnected from context, restore those three qualities before debating tooling detail.
